CheerPlanner Privacy Policy

CheerPlanner ("we," "our," or "us") is a mobile application that helps cheerleading families organize expenses, competition travel, schedules, and packing lists. This Privacy Policy explains what information we collect, how we use it, and the choices you have. By creating an account and using CheerPlanner, you agree to the practices described in this policy.

1. Information we collect

We collect only the information you provide directly when you sign up and use the app. This includes:

- Account information: name, email address, and a password you choose. Passwords are never stored in plain text; they are one-way hashed using bcrypt before being written to our database.

- Household content: athletes, coaches, teams, competitions, hotels, flights, rental cars, expenses, payments, fundraisers, practice schedules, packing lists, and any notes or addresses you enter.

- Co-parent links: when you invite another parent to your household, we store their email so we can attach their account to your shared records once they accept.

- Notification preferences: opt-in flags for the categories of reminder emails you want to receive.

We do not collect device identifiers, advertising identifiers, IP-based location, contacts, photos (other than ones you explicitly attach to an athlete profile), microphone audio, health data, or any data from other apps on your device. We do not embed third-party analytics SDKs or trackers.

2. How we use your information

- To operate the app: store and display the records you create, sync them across the devices in your household, and authenticate your sign-in.

- To send reminders you opt into: if you enable email notifications, we use your email address to send transactional reminders such as upcoming competition alerts, hotel cancellation deadlines, and expense due dates. We do not send marketing or promotional emails.

- To improve and secure the service: detect abusive sign-in patterns through standard rate limiting, and diagnose errors using server logs that exclude personally identifying content.

We do not sell or share your personal information with third parties for advertising or marketing. We do not profile you, do not run behavioral analytics, and do not enrich your data with third-party sources.

3. Service providers we use

We use the following sub-processors to operate the service. Each is bound by their own published privacy commitments and only processes the data we send to deliver the service.

- Emergent (https://app.emergent.sh/privacy-policy): hosts our backend on managed Kubernetes infrastructure in the United States and India.

- Cloudflare: provides DNS, TLS termination, and content delivery in front of our backend.

- MongoDB Atlas: hosts our production database, auto-provisioned by Emergent.

- SendGrid (Twilio Inc.): delivers opt-in reminder emails to the address on your account, when you have enabled email notifications. SendGrid receives only the recipient's email address and the message content.

4. Data location and security

Your data is processed and stored in data centers located in the United States and India. All traffic between the CheerPlanner app and our servers is encrypted in transit using HTTPS/TLS. Database access is scoped per household: every read and write is filtered to the requesting user's household identifier, making cross-household access impossible.

5. Children's privacy

CheerPlanner is intended for parents and adult coaches. We do not knowingly collect personal information directly from children under 13. Parents and guardians are responsible for any information they enter about their own minor children for organizational purposes (such as an athlete's name). If you believe a child has independently created an account with us, please contact info@cheer-planner.com and we will delete the account promptly.

6. Your choices and rights

- Access: every record we hold about you is visible inside the app and can be exported via the in-app CSV and calendar export features.

- Correction: you can edit any record at any time from the relevant tab.

- Deletion: you may permanently delete your account and all associated household data at any time from Settings, Delete account. The deletion is immediate and irreversible.

- Email opt-out: you may turn off reminder emails from Settings, Notification preferences, or by tapping Unsubscribe in any reminder email.

- Privacy requests: if you reside in the European Economic Area, the United Kingdom, California, or any jurisdiction with comparable privacy rights, you may also exercise rights to access, port, correct, or delete your personal information by emailing info@cheer-planner.com. We will respond within 30 days.

7. Data retention

We retain your data for as long as your account is active. When you delete your account, your data is purged from the live production database immediately. Encrypted database backups containing the data may persist for up to 30 days before being overwritten, after which no copies remain.

8. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above and, for material changes, notify active users by email and inside the app. Continued use of the app after a change constitutes acceptance of the revised policy.
